Purchasing Assistant
LOCATION:
Rotherham Head Office
WORKING HOURS:
40 Hours per week (9:00am–18:00pm)
REPORTS TO:
Purchasing Manager
KEY RESPONSIBILITES:
· Processing ‘Back to Back’ orders
· Placing daily orders for stock from our main suppliers
· Liaising with suppliers regarding enquiries and orders
· Stock adjustments for belt cuts, linear, make ups etc on GP/Delta
· Updating overdue orders information on the system
· Investigating and resolving Goods-In queries
· Ensure that any materials that are late or holding up despatch for any reason are chased and followed up until received
· Daily housekeeping duties on the ERP system
· Interacting with customers (both internal and external) so good customer service skills are valuable
· Ordering office consumables and all other supplies
· Processing returns to suppliers from all branches
· Processing stock adjustments – ensuring both systems are accurate
· Provide general administrative support to the purchasing manager
· Provide Covering Support for annual leave
· To positively promote the company and its products and services and ensure that a professional image is always provided to customers and colleagues
· To undertake, when requested by the managing directors, additional reasonable tasks and responsibilities not outlined above to support the success and continuing performance of the department and company
· To abide by the company’s confidentiality agreement when carrying out all tasks as part of this role
ESSENTIAL SKILLS:
· Reliability, adaptability

· Good communication skills, telephone manner and technique as well as good interpersonal skills
· Effective numeracy, literacy and word processing skills
· Ability to liaise closely with internal colleagues and external parties
· Ability to make decisions relating to the day to day running of stock control without upward referral, and refer wider reaching decisions to the purchasing manager
· Excellent organisational skills, demonstrates a logical and methodical approach with attention to detail and accuracy
· Demonstrates an analytical and evaluative approach to facts and figures
· Time-management skills; the ability to work under pressure and plan workflow to meet deadlines
· Good business acumen
· Positive personality
· Understanding of the organisation’s goals and objectives
· The ability to handle confidential information in the appropriate manner
· Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) is essential
· The ability to prioritize tasks, manage schedules, and meet deadlines is vital
· The ability to identify and resolve issues efficiently is important
· Accuracy in data entry, record keeping, and document management is crucial
· The ability to work effectively as part of a team and build relationships is important
KNOWLEDGE:
· Good Product knowledge
· Good understanding of the organisation’s goals and objectives.
· The ability to handle confidential information in the appropriate manner
EXPERIENCE/QUALIFICATIONS:
· GCSEs (or equivalent) at grades 9 to 4 (A* to C) in English and Mathematics
· Strong written and verbal communication skills are crucial
